Refund policy

Refund and cancellation terms for paid API consulting engagements with API Arc Consulting.

Scope

This policy applies to paid consulting engagements (integration projects and advisory retainers) sold by API Arc Consulting, SSM 202003156789, info@apiarc.digital, +60-88-000-1708.

Eligibility

Refunds are considered when:

  • You cancel before we begin billable work defined in your statement of work (SOW), or
  • We mutually agree to terminate an engagement early, or
  • We fail to deliver a contracted milestone and cannot remedy within a reasonable cure period stated in the SOW.

Timeframe (proposed)

Unless your signed SOW specifies otherwise:

  • Full refund of prepaid fees for unused work if you cancel in writing within seven (7) calendar days of SOW confirmation and before deliverables are shared.
  • After work starts, refunds are partial and based on work not yet performed.

Non-refundable items

  • Milestone payments once the milestone deliverables are accepted or deemed accepted per the SOW.
  • Deposits applied to discovery work after discovery outputs are delivered.
  • Third-party costs already incurred on your behalf (licenses, paid API sandboxes) if non-cancellable.

Work already started

If integration design, documentation, or advisory sessions have been delivered, we retain fees covering hours already spent at the contracted rate. We provide a summary of hours and outputs upon request.

Process

Email info@apiarc.digital with your name, SOW reference, and reason for the request. We acknowledge within three business days and respond with a decision and, if approved, timing for payment reversal.

Processing time

Approved refunds are processed within fourteen (14) business days to the original payment method where possible.

Cancellation and rescheduling

Advisory sessions may be rescheduled with at least twenty-four (24) hours’ notice. Repeated no-shows without notice may forfeit the session fee per your SOW.

Consumer remedies

Malaysian consumer protection laws may provide additional remedies for qualifying transactions, including statutory cancellation rights for certain direct sales contracts. This policy does not replace those rights.
